Take quick tour of Applyment's Back Office and learn about all the great features.

Please keep in mind that your screen might look slightly different depending upon your administrative access level. We are logged in at the highest level, Super Admin. Applyment is designed with four (4) access levels: Super Admin, District Manager, General Manager, and Manager.

APPLYment allows you the ability to set-up an unlimited number of users on your account. When setting those users up, you must assign each one to have one of four (4) administrative levels.

The four (4) levels, from highest authority to lowest, are Super Admin, District Manager, General Manager, and Manager. The person who initially signs up for APPLYment’s services will automatically be assigned as a Super Admin, but, if desired, that can be changed after the initial setup.

Activity Center

Activity Center helps you organize and stay up to date with all applications and employee interactions.

Here you can keep track of all admin activities across each of your business locations. For example, you can see which applications an admin favorites, who they hired, and who was terminated.

As well as making your hiring process more reliable, you can now make sure that those with the power to make hiring decision are making the right ones.

Icons and Color Marker Descriptions

In this section we will go over the different icons and color variations you will encounter while navigating through the Manage Applicants section of the Back Office and individual applications.


Viewed Icon

An application that has this icon attached to it means that it has been viewed. That doesn’t necessarily mean that you have viewed it. You could have multiple Admins on your account, and if one of them opened the application for review before you did, it would have the Viewed Icon and still be “New” to you.

If you hover your mouse over the icon, Applyment will indicate who viewed the application. This can be very helpful if you have additional Admins helping out with application reviews. Especially if you are in charge of managing lower level Admins. This helps you keep track of and hold others accountable for reviewing applications in a timely manner.


Notes Icon

This icon lets you know that an Admin or Admins have added notes to an application. You can hover your mouse over this icon to view the notes, or click on the icon to bring up the Notes panel where you can read the full list and even add more notes.

When you add notes to an application, everyone who is an Admin for that location will get an email notification that you added notes. Through the email, they can then navigate to view and interact with the notes.


Shared Icon

If you have multiple business locations on your account, you will have the ability to “Share” applications. This is very useful for those accounts that have business locations geographically situated so that an applicant could easily work at either location.

As an example, a hiring manager from store “A” knows that the manager from store “B” is searching for an assistant manager. Store A receives a great application from a person looking for a management position. The Admin from Store A could then “Share” this with Store B.

When the Admin from Store A proceeds with sharing, the Sharing Applicant pop-up window will appear. Here you can select what location to share this with, and add a note to accompany the notice. Applyment will then email all those associated with Store B to inform that an application has been shared with them.


Favorite Icon

This icon shows you that an application has been favorited. This is helpful for you when evaluating applications. You can favorite ones that catch your eye so that you can find them easily when you come back to make final decisions.

For those locations with multiple admins, please keep in mind that once the application has been favorited, it will show up as favorited to all the Admins.

Should you, or another Admin decide, you can “Remove from Favorite” by navigating to the “Actions” button.


New Applications

New applications are highlighted with a slight orange gradient.


Viewed Applications

Viewed applications will be white in color.


Hired Applications

When an application is marked “Hired”, the row will have a green gradient overlay.


Shared Applications

When an application is shared, a small red/pink line will show up on the top and bottom of the row.


Unhirable Application

When an application is marked “Unhirable”, the row will have a grey overlay.

Application Details Guide

It is a long established fact that a reader will be distracted by the readable content of a page when looking at its layout. The point of using Lorem Ipsum is that it has a more-or-less normal distribution of letters, as opposed to using 'Content here, content here', making it look like readable English

  • 1. Facebook quick link - Applicants who link Facebook to their application will have this link. You can click the FB icon to be taken to their page.
  • 2. Profile Image - Applicants have the option of uploading a profile image/picture.
  • 3. Viability Score - for more details see “Viability Score Explained” below.
  • 4. Communication buttons allow you to quickly and easily get in touch with an applicant. If you are viewing the application on your mobile device, you can call, text, or email by clicking one.

Viability Score Explained

Applyment’s Viability Scoring was put in place as a tool to help you quickly, at a glance, assess an applicant’s fit for your company. Scores are based on a 100 point scale.

That does not necessarily mean that a candidate with a lower score would not make a good fit, but, more likely than not, higher scoring applicants may have fewer hurdles to overcome. The reason we say this is that Viability Scores are calculated from core qualities your business looks for.

Here are some of the factors used to determine an applicant’s score:

  • Distance to your Business - Applyment calculates the distance from you business to the applicants home. The closer the person lives to your business, the more points they will get for this factor.
  • Previous Experience - Applyment looks to see if the applicant has worked in your industry before, and assigns the applicant points based on this.
  • Availability - The more open an applicant’s availability is, the more they can score in this section. Bonus points are also given to those applicants who are available during your busier hours.
  • Professionalism - We know you all are wanting to hire the most professional people you can. That’s why we give more points to applicants who show professional traits. For example, those who attach resumes to the application will be awarded additional points. Those applicants who
  • Custom Scoring Factors - Some of Applyment’s clients have industry specific criteria when looking for employees.
  • For example, we have customized the scoring platform for our pizza delivery clients to award applicants with newer vehicles bonus points. Newer vehicles tends to mean less car trouble. You get the picture

Importance of marking applications Hired, End of Employment, or Unhirable

To take advantage of and reap the benefits from the Rapid Hire Center (RHC), it is important to properly mark an applicant as Hired, End of Employment, or Unhirable (See the Rapid Hire Center help section for more information). By doing so, you are letting the RHC know to either include those applicants in on any Now Hiring campaign email blasts or exclude them.

There is no reason to send someone you deem “unhirable” an email telling them that you are interested in hiring them.

On the opposite hand, if you have a great person working for you and they have to end employment for whatever reason, but you both would like to work together again, they need to be marked “End of Employment” to put them back into the pool of candidates that the RHC will email to.

To share an application, navigate over to the Manage Applicants section of the Back Office.



There, you can click on the “Actions” button found on the right side of the screen. You will then be able to share the application.



Clicking on the “Share Applicant” link will bring up the Sharing Applicant window. It is here you will select who you want to share with. You can also include a message with the shared application.


Admins associated with a business location will receive email notifications each time a new employment application has been completed.

This is very useful for those clients that have business locations geographically situated so that an applicant could easily work at either location.


Unfinished Application Notifications

Applicants do not have to immediately finish an application. If they desire, they can finish at a later time.

Applyment will also send them reminders to finish the application once started. If a person does not complete an application within 24 hours, Applyment will send them an email notice that they have an unfinished application. Should they still not finish the application by the 7th day, Applyment will send them a final notice to complete.

Can those with the access level of “General Manager” and “Manager” be admins over multi locations?

Yes, they just have to be assigned multiple locations by an upper level admin.

Understanding “Code” and “Direct Link”

Code:
Some businesses/franchises use numeric codes (or otherwise) to differentiate between business/locations. For example, “1234” or “Main”. It's your choice how you decide to code a particular business location. We would keep it as simple as possible, because the code will make up a portion of your Direct Link. Codes can have up to 9 characters.

Here are few examples:

Direct Link
The Direct Link is the web address that leads directly to your specific business location’s Applyment page for applicants to apply. Instead of having an applicant go to “Applyment.com” and then selecting a state and city to find your listing (see below),
They can quickly and easily bypass navigating to your job opening by selecting the State and City, but instead get there directly with the Direct Link. (see below)

Control Your Locations

The Rapid Hire Center is a directed “Now Hiring” email marketing tool built right into Applyment. It allows you to access your database of stored applications as a powerful resource for finding talent quickly and easily.

The power lies in your database of stored applications. Each time you get a new application, the Rapid Hire Center gets more powerful, because you have more people to send Now Hiring notices to.

More specifically, as you increase applications you build up the number of possible employees to choose from. You may only have one or two positions available at a particular time, but received way more applications than needed. Let’s say 25 people applied but you only need to hire 2. So now you have an extra 23 applications in your database. Two weeks pass and you need to hire one more person. First thing you should do is send out a Rapid Hire campaign to those 23 that you have in your database.

We already know they wanted to work for you two weeks ago. Wouldn’t it make sense to ask them first if they are still interested? Now in less than a minute you can send a Now Hiring email to those 23 people.

Applyment will let them know you are hiring again and give them three choices to reply with. Those choices are 1) Yes I am interested, 2) I am not interested at this time, but would like to remain on any future email notices, or 3) I am not interested at this time, and would like to be removed from any future email notices.

The Rapid Hire Center was also designed so that you could pinpoint who you are looking for based on position applied for. Maybe you are just looking for managers. Maybe you have an opening for an entry level job. You can tell the Rapid Hire Center exactly who you are looking for, and it will only send out emails to those individuals who have applied for that position in the past. You can even add details like availability requirements.

Referral Tracking (Quick View)

Referral Tracking Quick View is located on the Home Screen of Applyment’s Back Office. It is a quick way to see where most of your applications are originating from. Quick view will show analytics for Social Media, Indeed, and Walk-in’s.

Referral Tracking (Full View)

To see the full Referral Tracking report, click the “Reports” link on the left hand side of the Back Office navigation menu to expand it in order to find the Referral Tracking link. Here you will see detailed information on where your applicants are originating from.

Each time someone applies to your business they are asked how they learned of this position. Applicants are given six choices to choose from; Social Media, Word of Mouth, Walk-in, Craigslist, Indeed, and other.

Application Status Report

The Application Status Report gives you insights on how many application were received, viewed, favorited, and hired during the previous six (6) months.

You’re Always Hiring

A powerful feature of Applyment is the Rapid Hire Center. It utilizes your database of past applications as a means of finding new talented team members for your business. So any chance you get to add another applicant, don’t pass them up. That’s why you’re always hiring!

Recruiting Walk-ins with your “Now Hiring” kit

With your subscription to Applyment, each business location receives a Now Hiring kit. Each kit is equipped with a double sided window cling. See the example below. We suggest installing the window cling in a high traffic area. If possible, we would suggest placing it on a window (eye level) in your lobby where guests can see it on the inside, but can also see it as they walk into your establishment.
Please be sure to properly clean the surface where you plan on placing it. This will extend its life.
It’s easy to train your entire team to easily guide a prospective applicant to applying. They basically just need to point them to the window cling, but a basic conversation should go like this:

Walk-In: “Are you all hiring?”
Team Member/Manager: “Absolutely! All you have to do is apply online at Applyment.com. If you have a smartphone you can apply right now. (pointing at window cling) All you have to do is follow the direction on that poster and you are set!”
Walkin: “Yes I do. I’ll apply right now! Thx!”
Team Member/Manager: “Great! If for some reason you can’t complete the application right now, you can always log back in to finish at a more convenient time. If you want, take one of these business cards and hand it to someone you know that might also be interested (see below for business card example).”

We also suggest having any hiring managers keep some of the “Now Hiring” business cards with them when they are out in the community. You never know when you are going to run across a great smiling face.

Ordering Additional “Now Hiring” Materials

Should you need to place an order for additional window clings and/or business cards, please send an email to contact@applyment.com. An Applyment representative will quickly contact you to finalize your order.

When Will Applyment Bill Me?

Applyment will automatically charge your credit card on the first of each month for each location on your account.

When you first sign up with Applyment, we will prorate the monthly charge based on the date you sign up during the month. For example, if you sign up in the middle of the month, you will only be charged for the remaining half of that month. The following first of the month you will be charged the full monthly fee.

Guide to Assigning Additional Billing Managers

Applyment allows there to be more than one user to be in charge of billing management. As long as you are a Super Admin, you can assign this task to another admin. You can do this by navigating to the “Manage Admins” section. See below.


Next, select the Admin you would like to allow to have billing management rights. Click the edit icon (). You will then be able to select the “Manage Billing” check box found next to the “Submit” button.
The next time that Admin logs into Applyment they will have the ability to manage your billing.
